Our office and financial policies help us make every visit smooth and encouraging. Whether it’s touring our office to decide if we are a good fit for you or discussing financial options, we’re here for every step of the way.

Our Office Policies

Your child’s dental experience should be as smooth as possible. Here’s how we make that happen.

Tour our office

We offer complimentary office tours and the opportunity to meet and greet our dentist, hygienists and dental assistants. A personal tour gives you an opportunity to see if our office is a good fit to serve you and your family.

Fresher in the morning

We recommend scheduling appointments for children 5 and under in the morning hours. In our experience, we believe younger children have a better experience earlier in the day. 

No scary terminology

Please remember that as a pediatric dentist we will be introducing your child to dentistry in a very child friendly way. Avoid preparing your child for their dental visit by using scary words such as “hurt,” “drill,” “needle,” or shot.” The staff will use child appropriate language for all the procedures that will be done and instruments that will be used.

Happy, independent patients

We strongly encourage you to allow your child to undergo their dental experience on their own in order for them to feel comfortable and confident at the dentist; however, you are allowed to accompany your child during the entirety of their appointment if you or your child would be more comfortable. If you do accompany your child, please be aware that many items in the treatment rooms are sterile, fragile, or potentially dangerous. You should not touch or allow anyone else to tamper with anything in the treatment rooms in order to prevent cross contamination, damage, or personal injury. 

One guest, please

Because space is limited in our treatment area, we ask that one guest or relative accompany the patient during treatment. We understand that it is not always possible, but please make arrangements for other siblings or supervise them personally in the waiting room. It is generally not helpful for siblings to be guests in treatment areas; it can create additional noise and distractions for your child and other patients. 

After school appointments

We schedule lengthiertreatment appointments in the morning and shorter appointments in the afternoon. Please understand our “after school” appointments are in the highest demand and may be unavailable for a few weeks. We can provide you with a school excuse for any missed academic time. We do have a last minute appointment list for people who would be interested in coming in same day or next day for openings that become available in our schedule. Please let our receptionist know if you would be interested and we will add your name to that list. 

We work on “kid time”

Due to additional time needed for young, anxious patients, treatment complications, or discovery of additional treatment needs, our schedule may run behind from time to time. We ask for your understanding if the scheduled treatment is not completed or requires a longer than anticipated time to complete. Needs vary with every patient and proper care requires adequate time for each procedure.

Parents not present, that’s ok

We understand parents cannot be present for every dental appointment. To make life easier, we do allow older siblings, other family members, or family friends to accompany your child to their visit if needed. Patients 16 years and over may drive themselves (and their siblings) to their appointment. However, we require that all treatment plans and consent forms for patients under the age of 18 be signed by their parent/legal guardian before treatment can be rendered (not an older sibling or other family member). We will email you or send this information home with the child/accompanying adult if you are not present. Please note, if we cannot get in touch with you to consent for treatment, it may delay their appointment time or create a need to reschedule their appointment. If possible, please send payment for co-pays or deductibles with your child/accompanying adult; if unable to do so, payment is expected within 10 days after the statement date as stated in our financial policy. 

Running late?

We strive to see all of our patients on time. If you arrive late, we cannot guarantee that all services will be able to be completed as planned or we may need to reschedule your appointment. For families who need to complete new patient paperwork, we ask that you please arrive 15 minutes early for your scheduled appointment time.

Need to reschedule?

We request a 24 hours notice for cancellation of appointments so that we may give that appointment to another patient. If appropriate notice is not given, a broken appointment charge of $25 may be assessed to your account. We understand that sometimes last minute cancellations are unavoidable; therefore, we will waive the first broken appointment fee. If two (2) broken/missed appointments occur without a 24 hours notice, our office reserves the right to NOT schedule any subsequent appointments.

 

If the office is closed when you need to call to cancel, please leave a voicemail or text the number that sent the appointment reminder.

Let’s talk HIPAA

For patients under 18

When contacting parents regarding their child’s visit or treatment needs, we may need to leave detailed information via email, voicemail or text message, unless otherwise requested by the parent in writing. We may also send personal health information home with the accompanying adult if you are not present.

For patients 18 and over

As sad as it is to see them go, we recommend patients begin seeking dental care from a general dentist once they turn 18. However if they still remain in our care once they’ve reached 18, we will update their contact information in our system to allow us to communicate directly with them regarding treatment and appointments. Should the patient want their parents to have access to their medical/dental information or participate in treatment discussions, they need to sign a HIPAA release form authorizing the release of that information. Financial responsibility for the insurance does not equate to the authority to consent for treatment for an adult child; therefore, parents may receive communication from our office regarding insurance, payments and overdue balances, etc.
